1. Agreement
By creating an account, starting a free trial or using Potrasy (the “Service”), you agree to these Terms on behalf of yourself and the company you represent (the “Customer”). If you do not agree, do not use the Service.
2. The Service
Potrasy provides security guard management software, including scheduling, attendance, GPS tracking, patrols, incident reporting, dispatch, client portal, communication channels, payroll and reporting. We may improve and change features over time.
3. Accounts
- You must provide accurate information and keep it up to date.
- You are responsible for your users, their access rights and keeping sign-in details confidential.
- Tell us immediately if you suspect unauthorised access to your account.
4. Free trial
New Customers may use the Service free for 14 days. No card is required to start. At the end of the trial you need to choose a plan to continue using the Service.
5. Fees and payment
- Fees are shown on our pricing page and are payable in advance, monthly or yearly.
- Monthly plans can be cancelled at any time and remain active until the end of the paid period.
- We may change prices with at least 30 days’ notice; changes apply from your next billing period.
- If payment is overdue, we may suspend access after giving notice.
6. Customer data
You own the data you and your users put into the Service (“Customer Data”). You give us permission to process it only to provide and support the Service, as described in our Privacy Policy. You are responsible for having a lawful basis under POPIA to capture your guards’, clients’ and visitors’ personal information, including location data, and for informing them how it is used.
7. Acceptable use
You must not:
- Use the Service unlawfully, or to track people without a lawful basis.
- Attempt to gain unauthorised access to the Service or other customers’ data.
- Interfere with, reverse engineer or overload the Service.
- Resell or sublicense the Service without our written consent.
8. Third-party services
The Service connects to third-party services such as QuickBooks, WhatsApp, Messenger, Instagram, Gmail, Outlook and payment providers. Your use of those services is governed by their own terms, and we are not responsible for them.
9. Availability and support
We aim to keep the Service available and secure, but we do not guarantee it will be uninterrupted or error-free. Support is available through the help centre and support tickets.
10. Intellectual property
Potrasy and its software, design and content are owned by us or our licensors. These Terms give you a limited, non-exclusive, non-transferable right to use the Service during your subscription.
11. Limitation of liability
To the extent permitted by law, we are not liable for indirect or consequential losses, and our total liability is limited to the fees you paid in the 12 months before the claim. The Service supports your security operations; it does not replace your own operational procedures and judgement. Nothing in these Terms limits rights you have under the Consumer Protection Act where it applies.
12. Termination
You may stop using the Service at any time. We may suspend or end access if you materially breach these Terms. After termination, you can request an export of Customer Data within 30 days, after which it may be deleted.
13. Changes
We may update these Terms. We will notify you of significant changes at least 30 days before they take effect.
14. Governing law
These Terms are governed by the laws of the Republic of South Africa.
